From paper to a reusable signature

A photo of your signature has a white (or off-white) paper background baked in. Paste that onto a document and you get an ugly white rectangle over the text. Removing the paper leaves only the ink on transparency, so your signature sits directly on the page like it was signed there.

How to get a clean signature PNG

Sign in dark ink on clean white paper, then photograph or scan it straight-on in good, even light. High contrast between the ink and the paper is exactly what the cut-out handles best, so the letters come out crisp.

Getting the crispest ink

Because a signature is a flat, high-contrast graphic, it's one of the cleanest things to cut. Where a transparent signature actually goes

A signature PNG with real transparency drops onto a document without a white box around it. Getting it in there differs per tool, and none of it needs special software:

• PDF, on a Mac — Preview has a built-in signature feature (Markup → Sign), but if you want to use your own PNG, use Markup → the image tool, then position and scale it.
• PDF, on Windows — Acrobat Reader's Fill & Sign accepts an image; drop the PNG in, then drag the corner to size it.
• Word — Insert → Pictures, then set Wrap Text to "In Front of Text" so it floats over the signature line instead of pushing the layout around.
• Google Docs — Insert → Drawing → New, then upload the PNG inside the drawing. Doing it via a drawing is what lets you place it over a line.
• Email signature — works, but keep it small (a couple of hundred pixels wide) so it doesn't dominate, and remember some clients block images by default.

One sizing note: the PNG is pixels, so scan or photograph the signature larger than you'll use it. A signature captured at 1500 pixels wide and placed at 300 looks crisp; one captured at 200 and stretched to 400 looks like a fax. Sign a blank sheet with a proper pen, fill the frame with it, and you'll have more resolution than you ever need.

Be careful what you do with the file afterwards

This part matters more than the technique. A transparent PNG of your signature is a perfect, reusable, infinitely copyable version of your handwriting. Once it exists, treat it like a key rather than an image:

• Don't email it as an attachment and don't drop it in a shared drive or a group chat. That's the most common way one leaks.
• Never put it on a public page or in a document you publish — including a PDF you post, where the image can simply be extracted again.
• Keep it somewhere you'd keep a password, not in your Downloads folder for the next two years.
• For anything legally significant — contracts, employment, property, anything with a counterparty who might dispute it later — use a proper e-signature service instead. The value there isn't the picture; it's the audit trail: who signed, when, from where, and a tamper-evident record of the document. A pasted image proves none of that.

An image signature is genuinely fine for the everyday stuff: an internal form, a delivery note, a letter, a school slip. Just make the distinction deliberately rather than by accident.
